Terms of Service

1. Acceptance of Terms
By creating an account or using TrainLap ("the Service"), you agree to these Terms of Service and our Privacy Policy. If you do not agree, do not use the Service. These terms apply to all users including coaches, athletes, and administrators.
2. Description of Service
TrainLap is a web-based training planning and coaching platform for endurance athletes and coaches. The Service allows coaches to create training plans, athletes to log sessions and wellness data, and both parties to track performance analytics. The Service also integrates with third-party fitness platforms (Garmin Connect, Suunto, Strava, Polar Flow) to automatically import activity data from GPS watches and fitness devices.
3. Account Responsibilities
You are responsible for maintaining the security of your account credentials. You must:
- Provide accurate information during registration
- Keep your password secure and not share it with others
- Notify us immediately at [email protected] if you suspect unauthorised access to your account
- Not create accounts for the purpose of spam, abuse, or impersonation
4. Coach Responsibilities
Coaches who invite athletes to their groups are responsible for ensuring they have appropriate consent to manage those athletes' training data. Coaches must:
- Not share athlete data outside the platform without the athlete's explicit consent
- Respect athlete privacy and use data only for coaching purposes
- Obtain parental or guardian consent before adding athletes under 16 years of age to their group
- Not use the platform to provide medical advice — TrainLap is a training management tool, not a medical device
5. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose
- Attempt to gain unauthorised access to other users' accounts or data
- Interfere with or disrupt the Service infrastructure
- Use automated tools to scrape, crawl, or extract data from the Service
- Upload malicious files, viruses, or harmful content
- Use the Service to harass, bully, or otherwise harm other users
- Misrepresent your identity or affiliation with a coaching organisation
6. Third-Party Integrations
TrainLap integrates with third-party fitness platforms including Garmin Connect, Suunto, Strava, and Polar Flow. When you connect a third-party account:
- You authorize TrainLap to receive activity data from that service as described in our Privacy Policy
- Your use of third-party services is subject to their respective terms of service and privacy policies
- We are not responsible for the availability, accuracy, or completeness of data provided by third-party services
- You can disconnect any integration at any time from the Settings page
- Third-party services may change their APIs or terms, which could affect the availability of integrations
7. Health and Fitness Disclaimer
TrainLap is a training management and planning tool. It is not a medical device, and the information provided through the Service (including analytics, wellness scores, training load calculations, and any AI-generated suggestions) does not constitute medical advice, diagnosis, or treatment.
Always consult a qualified healthcare professional before starting or modifying a training programme, especially if you have existing health conditions. Users are solely responsible for their training decisions and physical wellbeing.
8. AI Features
The AI session parser and any AI-powered features are provided as tools to assist with training management. They do not constitute professional coaching, medical, or training advice. AI-generated content may contain inaccuracies. Always review parsed session data for correctness and use your own judgment when making training decisions.
9. Data Ownership and Intellectual Property
You retain full ownership of all content you create on TrainLap, including training plans, session descriptions, wellness data, messages, and exported files. We do not claim any intellectual property rights over your content.
You grant TrainLap a limited, non-exclusive licence to store, process, and display your content solely to provide the Service. This licence terminates when you delete your account.
The TrainLap platform, including its design, code, and branding, is our intellectual property. You may not copy, modify, or redistribute any part of the platform without our written permission.
10. Service Availability
We strive to maintain high availability but do not guarantee uninterrupted access to the Service. The Service may be temporarily unavailable due to:
- Scheduled maintenance (we will make reasonable efforts to notify users in advance)
- Infrastructure issues beyond our control
- Force majeure events
We are not liable for any loss or damage resulting from Service unavailability.
11. Termination
By you: You may close your account at any time by contacting us at [email protected]. Upon account closure, your data will be handled in accordance with our Privacy Policy (Section 8).
By us: We reserve the right to suspend or terminate accounts that violate these terms, engage in abuse, or are inactive for an extended period (12+ months). We will provide reasonable notice before termination except in cases of severe abuse.
12. Limitation of Liability
The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, and non-infringement.
To the fullest extent permitted by applicable law, TrainLap shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to your use of the Service, including but not limited to loss of data, loss of revenue, personal injury, or property damage.
13. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the European Union and the applicable member state where the data controller is established, without regard to conflict of law provisions.
14. Changes to Terms
We may update these Terms from time to time. Material changes will be communicated via email to registered users or through an in-app notification at least 14 days before they take effect. Continued use of the Service after changes constitutes acceptance of the updated terms. If you do not agree with the changes, you may close your account before they take effect.
